Year 6 Rep info

As well as the usual Rep duties listed in POA Class Reps, the main project for Year 6 Reps is the Yearbook. There is a lot to do and it is very time consuming so it is best to start early. There is a pack you will receive from the School Office with lots of info and samples of previous books to help prepare you. The organiser of the Yearbook needs to action the below:

Leaver’s Yearbook

Dec/Jan

  • Approach the POA to find out if they can support the Yearbook (previously the POA contributed £250 towards the cost).
  • Approach printer Genie Design & Print (an Aldrington parent’s business) to receive a quote. They are happy to help us! (Cauliflower Books have also produced Yearbooks in the past)

Jan

  • Confirm cost of each book and decide on an email address for Y6 parents/carers to send photos to. Share this info with School Office.
  • This info is sent out to Y6 families by the School Office. When parents/carers reply with consent, the School Office will forward info on photo requirements and the organiser’s email address.
  • A list of first/surnames will be shared with the organiser.
  • The School Office will chase anyone who has not signed up to the original agreement.
  • The organiser/s will then design and layout the book, using photos the parent/carers have supplied.
  • There is a list of requirements provided to send to each parent/carer. For example each child has a “profile” page with 3 x photos, plus surplus photos throughout the book for various occasions. Make sure you give a deadline for families to have sent this info by, and keep reminding them.

March (after Easter hols)

  • Organiser(s) to look through photos the school hold and decide what to include in the Yearbook. This is especially important to obtain the Reception / Early years images and Carroty Wood.

April

  • Liaise with Y6 teachers to ask the children to write something for the Yearbook. There is a form to print off for the children to fill in to make this easy for the teachers. This then needs to be typed up (by Reps/parents) for the Organiser to use.
  • Collate a list of all teachers/TA’s the year have been taught by and ask the School Office to provide a photo and comment to go in the Yearbook. Miss Coates, Mr Claydon, Mrs Griffiths and key support staff will also be asked.
  • Organiser(s) to decide if an art competition is to be run for the front cover and liaise with school to ask children to produce artwork. Organisers judge and decide on the winner. There is a form to print out for the children to draw straight on to, to make this easy.

June

  • Early June – Total orders need to be made/confirmed for the Yearbooks. The school will take orders and collect the money via Parent Pay. One book per pupil (subsidised by the POA contribution).
  • Additional copies to be charged at full price.
  • End of June – Sample of the final copy to Miss Coates to proof read and then order books!

July

  • Mid July – Leavers books are given out at the BH leaver’s service so they need to received before then.

Leaver’s Banner/Wall

Put together a leaver’s banner/wall for the last day on the field. It’s a nice touch to send the kids off in style!
